Steps for applying

Step 1 Complete enhanced fleet energy assessment

Complete an enhanced fleet energy assessment (either through a third-party assessor or via self-assessment) that meets the criteria outlined the NRCan Fleet Energy Assessment Criteria and Guidelines (sections 1 through 4).

Step 2 Complete application form

Complete the application form using our Guide to filling out the application form.

Ensure that all required fields are properly completed, and all mandatory criteria are met.

Tips for Success:

  • Ensure that the information provided in section 4 (Project details) aligns with the information provided in section 10 (Project budget).
  • Ensure that the information provided in section 5 (The Organization’s experience) and in section 6 (The Organization’s readiness) aligns with what has been described in section 11 (Project timeline) and in section 12 (Risk mitigation).
  • Maximize your merit criteria points by ensuring that you provide as many details as possible. Follow the Merit Criteria prompts in the Guide to filling out the application form and in the step-by-step description of our evaluation process.
  • Don’t forget! You must sign Section 7 (Declaration of outstanding legal actions) and Section 8 (Applicant’s attestation).

Step 3 Gather supporting documentation

  • Quotes for the proposed repower technology/equipment, new low-carbon alternative truck or the specific logistical best practice technology. Include implementation, installation and associated work costs (including any refuelling infrastructure).
    • For applicants seeking to apply for a “Purchase” project, they must also provide a quote for a standard comparable diesel truck to validate the incremental cost calculation.
  • Proof of funding: Applicants must provide NRCan with evidence that at least half of the funding to be covered by non-NRCan sources are available and have been secured. Prior to the signing of a Contribution Agreement, NRCan will require proof of all sources of funding.
    • All applicants must demonstrate that they have secured 50% of the cost portion for which they are responsible for, by including a copy of at least one of the following:
      • signed letter of attestation from CFO confirming how the project will be funded
      • most recent balance sheet
      • most recent financial statements
      • bank statements from 2023/2024
      • signed loan agreement that mentions the project
      • letter of confirmation stating firm funding signed by the investor and mentioning the project
      • resolution from the governing council that funds are available for the project
  • Proof of incorporation: Applicants will need to provide proof of incorporation that is provincially and/or federally recognized.
  • Proof of ownership: For applicants applying for funding towards a “Repower” and/or “Logistical best practice” project, proof of ownership OR proof of a long-term lease agreement (that extends at least 3 years beyond the proposed project end date) will be required at application.
    • For applicants applying for “Purchase” project, proof of ownership of the newly purchased vehicles will be required at the end of the project.
  • Enhanced fleet energy assessment that references the exact fleet modifications and/or purchases proposed in this project.

Step 4 Submit

  • Please submit your completed application along with all of your supporting documentation to freightassessment-evaluationdeflotte@nrcan-rncan.gc.ca
  • Any supporting documentation must be saved in PDF format. For security reasons, we cannot accept Zip files. If there are multiple attachments that cannot fit into one email, please ensure that you number and specify in the subject line of your email the details:
    • Example: Company ABC’s application to GFP Stream 2 Email #1 of 4
  • Service standards: When an application has been submitted, you will receive an automatic reply from our inbox acknowledging receipt. If you have not received this email in your inbox, please check your junk mail. If it does not appear in your junk mail, please follow up with program staff.
  • NRCan is not responsible for the security of the application during e-mail transmission.
