Application review and decision process

Only complete application packages will be evaluated by the Green Freight Program (GFP). Complete application packages are reviewed on a first come, first served basis. Please review the How to Apply page to ensure your application is complete.

1. The Verification Process

   • All application packages are verified for completeness and against the eligibility criteria of the Program.
   • All incomplete application packages will be automatically rejected and closed.
   • If clarification or additional information is required, the applicant will be contacted by email by the Program.
   • If the application package meets the verification step, the applicant will be asked to submit the following forms in order to complete the application package and proceed to the due diligence evaluation:
     • Recipient Registration and Direct Deposit Request; and
     • Certification for the treatment of GST, HST or PST.

   IMPORTANT: If the applicant is unable to provide the requested information or does not reply within a reasonable timeframe, the application package will be deemed incomplete and closed. The applicant will be given 2-weeks notice prior to the closure of their application package.

2. Due Diligence Evaluation

   An application package that is deemed complete and eligible will undergo a due diligence evaluation to determine merit and legal compliance for funding. The Program may contact the applicant by email for further clarification or additional information.

3. Notification of Funding Decision

   Once the due diligence evaluation is complete, the applicant will receive an email from the Program with the funding decision. If the application package is successful, the applicant will be asked to sign a grant agreement.

   IMPORTANT: Natural Resources Canada will conduct a test payment with all successful applicants. This will consist of transferring a test payment to the successful applicant’s bank account before the full grant payment is made. The successful applicant must confirm receipt of the test payment for the full grant agreement to be processed.

4. Service Standards

   An applicant will receive a notification of funding decision approximately 90 business days from the date the Program receives the following duly completed forms:

   • Recipient Registration and Direct Deposit Request; and
   • Certification for the treatment of GST, HST or PST

5. Payment

   Only application packages that have met the verification process and due diligence evaluation can receive funding.

   Payment is issued within 30 days of receipt of the grant agreement signed by the Applicant.
