Important information to review

Before your first day

Here are some points of discussion to have with your hiring manager to help you prepare and feel confident as you get ready:

    Read your Collective Agreement or Terms and Conditions of Employment identified in your letter of offer to find information on rates of pay, and leave provisions (when applicable).

    Personal Record Identifier (PRI) and myKey

    As a new employee, to manage your pay and leave, you will first need a personal record identifier, also known as a PRI.

    Your PRI is your unique identifier within the federal public service. It is a 9-digit number starting with a zero and will follow you throughout your federal public service career. It is required frequently, therefore memorizing it is worthwhile.

    MyKey is a secure digital credential used by Government of Canada employees to access protected networks and applications, sign documents electronically, and ensure the confidentiality, integrity, and authenticity of electronic communications and transactions. Our IT Team will assist you in obtaining your myKey on your first day of work.

    Pay and benefits

    Employees are paid every two weeks, in arrears. This means that when you are paid at the end of a two week pay period, it is for the work performed that ended two weeks previously. As a new employee you should receive your first pay within four to six weeks after your start date. Learn more about how public service pay works.

  • Transferring from another department

    Getting paid

    You will continue to receive your pay from your former department until the transfer of your pay file to NRCan is complete. If your pay rate is different in your new position, your pay will be adjusted upon completion of the transfer, and you will receive any retroactive pay you are owed or repay any overpayment you’ve incurred.

    Until the transfer process is completed by all departments, you will have access to Phoenix, but some actions will be restricted such as the selection of your Section 34 Manager.

    How long does it take for my transfer to go through

    Please be advised that the transfer process is complex and may take several months before your pay is issued through your new department. The Pay Centre must ensure your pay file is current, including all entitlements such as leave balances, pay increments, and more, before closing your file and transferring it to NRCan.

    Before the transfer-out can be processed, your former organization must complete all outstanding account transactions. This includes acting pay, overtime, and any other pending items. Once this is finalized, the transfer-in to NRCan can begin. Please note that once the transfer is completed, your former department will no longer have access to your pay account.

    Please review the items included in the following list to ensure a smooth transition:

    • Submit and ensure approval of all paid leave, leave without pay, and extra duty pay before your departure.
    • Meet with your former department’s finance division to confirm any outstanding financial obligations you may have.
    • Take a screenshot of your leave balances and submit it to your new manager as a starting point to track leave.

    What will happen to my benefits

    Your benefit entitlements will continue as usual during the transfer process as the previous department continues to pay your salary with no break in service. You can submit your claims as usual.

Your first day

On your first day, we want to ensure you feel welcomed and supported from the moment you arrive. Here’s a brief overview of what you can expect as you begin your journey with us:

  1. Meet your hiring manager or onboarding partner at the designated meeting spot.
  2. Your hiring manager will have arranged your building access card, which should be ready for pickup at the commissionaire’s desk.
  3. Your hiring manager or onboarding partner will then guide you to your floor and introduce you to your new colleagues.
  4. You will likely have already received an email confirming that your IT equipment is ready, along with pick-up instructions.

Once you have network access, take some time to explore the onboarding tools available to support you throughout your integration. These resources are designed to help you navigate your new role, understand your workspace and resources available to you.

The Onboarding team is there to support you through your journey and make sure you have everything on hand to ensure a smooth and successful transition to your new role.
